Job Description:

Volt has partnered with a leading automotive manufacturer in Fountain Valley to help identify an experienced Facilities Coordinator / Admin for immediate hire.As a Facilities Coordinator / Admin you will:Provide Facilities administrative supportManage the Facilities inbox. Dispatch request to team members and submit any work orders required.Manage the Facilities invoices inbox to ensure all invoices received are processedReview/process invoices and confirm goods and services were receivedProvide vendors with payment updates as neededWork closely with Accounts Payable to ensure invoices are getting paid on timeAllocate purchase card transactions monthly; follow up with team if receipts are missing to properly allocate expensesDistribute the incoming department mail as neededTrack and send out emails for parking policy enforcement (physically conducted by Security team)Liaison between Facilities and other departments such as Security, Caf--, Marketing, HR and Maintenance & Janitorial personnelAssist with drafting Facility communication emailsProvide back-up Receptionist service (typically only a few hours a week)Facilitate Corporate event coordinationMaintain accuracy of required reports, logs and measurementsAssist in coordinating inter-office movesCreate simple PowerPoint presentations for meetingsSupport team in creation of expense reportsAssist with general administrative tasksParticipate in on-going training programs, cross-training and be flexible to perform varying roles in FacilitiesBe flexible when faced with deadlines and challengesProvide excellent customer serviceAdhere to business guidelines, safety & security proceduresQualifications:Minimum of 1 year of experience working in facilities with strong administrative skillsProven customer service-related experienceIntermediate computer skills, including MS Office (Outlook, Excel, Word, PowerPoint)Exceptional communication skills and attention to detail is very importantInvoice processing experience preferredPay is based on experience but between $28-32/hr. Hours are full time, M-F 7am - 4pm or 8am - 5pm and requires you work 100% onsite at the facility.
